Clinical Ops Specialists support day-to-day clinic workflow tasks that keep visits and follow-ups moving. Common examples include patient intake and chart prep, appointment scheduling and follow-ups, inbox and task routing, document requests/results routing, referral coordination, and prior authorization support. Documentation support is also included as part of Ops coverage based on the workflow you choose. Our Ops Specialists can enter orders and prescriptions for your review and authorization.
Clinical Ops Specialists do not provide clinical care or medical decision-making. They do not diagnose, independently prescribe, provide medical advice, or independently triage clinical symptoms. They also do not represent themselves as licensed clinical staff. Any clinical judgment items are routed to your licensed team per your protocols.
For U.S. clients, team members supporting your workflow are based in the United States. For international clients, we can source local-country staffing when preferred to better match cultural context and patient expectations.
Yes, when authorized by your practice and within your workflows. They can handle routine scheduling, confirmations, administrative follow-ups, and structured outreach using your scripts and protocols. Anything requiring clinical judgment is escalated to your licensed staff.
Yes, based on your access policies and the service model you select. For some workflows, they can update non-clinical fields, enter structured information, and support documentation tasks. Final clinical review and sign-off remain with the provider. All of our staff are thoroughly trained in HIPAA and any other applicable privacy laws.
Yes. They can prepare and submit prior authorizations, gather required documentation, coordinate with payers, and track status. Final clinical justification elements (when required) are provided by your clinicians, and we follow your practice’s approval process.
During onboarding, we confirm your exact task list, escalation rules, access level, and “definition of done.” If your needs change, we can adjust scope or tier so coverage matches the workload.
