The timeline to build and establish an effective scribe team varies per type of practice. For most emergency room practices, it will take 10-12 weeks to establish and train a team. For most clinical practices, such as primary care and ophthalmology, it will take 8-10 weeks to establish and train a team. These timelines do not include the time required to recruit staff, which can take up to four weeks, or any administrative time needed to negotiate a contract for service.

Codex Group collects payments on a monthly billing cycle. Service is an amount billed per hour a scribe is scheduled to work with a provider. The number of hours of coverage per 24-hour period will be set in the service contract. Coverage requested in addition to the contracted amount will be billed at an extra fee. Our rate per hour is dependent on market area and will be disclosed in a requested proposal for service. Any trainees that are working alongside a trainer and the provider will be billed at a reduced rate. Holidays include New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Christmas Eve, and Christmas Day. Holiday billing starts at midnight the day of the holiday and concludes at midnight the following day (24 hours per holiday). The rate for holidays is typically above the standard rate. All hours that are billed will be for hours that a scribe has worked directly with a physician, as well as any hours that a trainee has worked with a trainer alongside a physician. Administrative time, auditing time, off the floor training and any indirect labor costs will be at the expense of Codex Group.

These modules can be used to train new scribes or educate current scribes for their annual education requirement. These modules are included with our comprehensive scribe service at no additional cost. With our consultation service, we routinely audit your scribes' performance and provide feedback reports with recommendations for improvement. Our standard consulting service is $30,000 billed annually or $3340 billed monthly. Annual billing is by contract for a full calendar year. Monthly billing is by contract month-to-month.
